Office Nurse Supervisor

POSITION SUMMARY:

The Office Nurse Supervisor is a registered nurse.  He/she will work full time and is responsible for coordinating the functions of their assigned area as well as being a working member of the team as needed.

 

Responsibilities will include overseeing clinical/clerical issues with front-desk, nursing and provider staff in the office(s) and ensuring those day-to-day functions within the office(s) are well maintained.

 

ACCOUNTABILITY

The Office Nurse Supervisor is accountable to Director of Physician Services.

 

INTERRELATIONSHIPS

Works closely with medical staff, clinical staff, and support staff of Weeks Medical Center.

 

QUALIFICATIONS

Professional:

1.       Graduate from an accredited School of Nursing

2.       Current NH RN License.

3.       Must have 5 years experience utilizing nursing skills.

4.       Prior supervisory experience (office setting preferred).

5.       Basic computer skills required (e-mail and Kronos timekeeping). Competency with Microsoft Word and Excel preferred.

6.       BLS certification required / ACLS certification preferred.

 

ESSENTIAL FUNCTIONS

1.       Work with clinical/clerical team to meet the needs of the patients, under the direction of the provider.

2.       Ensure that the office is functioning efficiently and that staff and patient satisfaction remains high. 

3.       Evaluate workflow – utilizing evidence based measurement tools.

4.       Ensure that mail, test results, etc. for providers of the team who are out of the office for CME or vacation is reviewed and necessary follow-up completed.

5.       Function as part of the nurse clinic or nursing team (as needed) to cover for unexpected staff shortages.

6.       Work with team members to provide timely appointments for patients.

7.       Communicate effectively to patients, their families, and other health care professionals.

8.       Refer patients for case management services if needed.

9.       Assist clinical and provider staff with concerns, keeping the Director of Physician Services informed of issues.

10.   Assist non-clinical staff with concerns, working collaboratively with the Manager of Admitting/Communications.

11.   Meet standards, skills, and competencies of physician’s office nurse.

12.   Work with the Director of Physician Services to ensure that ordering and delivery of supplies is maintained in an efficient manner.

13.   Function as coordinator of grant funded programs related to areas supervised.

14.   Responsible for ensuring that all policies and procedures are current and reviewed on an annual basis.

15.   Work with the Director of Physician Services to ensure adequate staffing in all offices.

16.   Perform all other duties as assigned

 

SUPERVISOR EXPECTATIONS

·   Maintains supervisory accountability for [department] operations but collaborates and coordinates services with as well as supports staff and supervisors on other shifts.

·   Responsible for ensuring that [department] completes assigned tasks on a daily basis.

·   Provides input during budget process and assists in ensuring department adherence to budget.

·   Directs, guides, and coaches staff.

·   Supervises staff on a daily basis and responsible for:

·         scheduling,

·         disciplining in conjunction with the manager,

·         providing input into the hiring, evaluation, and termination process, and

·         training of new staff in conjunction with manager

·   Monitors Kronos timekeeping system for department staff. Completes bi-weekly payroll for department.

·   Works a scheduled shift with limited flexibility regarding work time and schedules hours based upon needs of the physician offices.

·   Ensures regular staff meetings are held with all staff in conjunction with department manager.

·   Demonstrates collegial attitude while working with colleagues.

·   Recognizes and acts upon opportunities for performance improvement.

·   Reports risk management and safety issues promptly.

·   Participates in development of disaster plan and ensures staff participation in disaster drills.
